1. Click on Licensing -> Manage Configuration -> Licence Types on the left-hand side of the screen.
2. Use the search fields to locate the licence type that you wish to edit.
3. Click on the Edit icon and the licence details form will open displaying your options for creating a new version of the licence type.

4. A licence version with a status of “Current” may have the following values updated without a new version being required:
· Main – Details - End Date
· Main – Design – Default Icon
· Main – Design – Icon Colour
· Main – Design – Display Image
· Main – Roles – Order
· Main – Activities – Order
· Actions – Validation Actions – Order
· Actions – Assessment Actions – Order.
5. A new licence version may be Discarded when the Effective Date is blank or in the future. Licence Type versions with a status of “Discarded” are ignored.
6. An existing licence version may be Archived when the Effective Date is before “Now”, and the End Date is blank or in the future. The End Date gets set to “Now”, and if a later version exists where the Lock Licence Type checkbox is selected, prompt as to whether the Effective Date of that version should be updated so that there is no time gap. This version may no longer be used or altered.
7. A New Version of a licence type may be created when there is not a later version unless that version has been Discarded. The new version will have a status of “Draft” so that the details may be altered. If the End Date of the version copied was blank, then the copy will have no Effective Date nor End Date; if the End Date of the version copied has a value, then the copy will have an Effective Date after the prior versions End Date and itself, have no End Date.
8. When the Draft version of a Licence Type has the Effective Date set, and the Current version of the Licence Type has no End date, the user will be notified and then the End Date on the Current version will be updated to a single day less than the Effective Date on the Draft version.
9. When both a Current and Draft version of a Licence Type exist, the Current with an End Date in the future and the Draft with an Effective Date after that; the Effective Date on the Draft may be moved earlier if the End Date on the Current version is edited first. It can be Archived, which will End Date it immediately, or have the End Date set to another future date.
10. Changes may be Saved on Licence Type versions that have neither been Discarded nor the End Date has passed.
11. Licence Type versions may be created with a gap between Expiry Date of one version and the Effective Date of the next version.
12. When the Effective Date is set in the future on a Draft version, the option to Lock Licence Type will be offered as a checkbox. This should only be selected once all changes to the Licence Type version have been saved and this version is ready for use as saving with it checked will lock the Licence Type version fields as if the version is a Current version. The purpose of this is to allow the new version to be used to generate Renewal Applications for this Licence Type and will be assigned a status of “Future”.
